The chapter selects one person to correspond with donors and be the custodian of the written donor contribution documents and publicity consent forms. Event chairmen may also want copies, but it is advisable to have one individual keep track of all donor contributions and privacy requests.
The chapter never provides any personal contact information, social security information, credit card number, date of birth or other personal information about a donor to anyone outside the chapter’s membership unless disclosure is required by law or is necessary to process a transaction authorized by a donor, such as to process a credit card transaction.
Personal contact information is given only to chapter members who require such information with clear instructions not to disseminate the information further. One such person will be writing acknowledgment letters to fulfill requirements of the IRS.
